1. INTRODUCTION

MARGARITIDIS AUDIO VISUAL acknowledges that you are concerned about how your information is shared and processed, therefore we take several appropriate measures to safeguard your personal data under our control.  This Privacy Policy defines the steps we take to ensure that the information provided to us will remain secure and confidential and will be used only for the purposes for which it is provided.

This Privacy Policy applies to information that we, MARGARITIDIS AUDIO VISUAL (“MARGARITIDIS”, “we”) may collect about you in connection with your access and use of:

  2. MARGARITIDIS cloud-based Event Management Platform named BlueTree at https://bluetree.events (the “Platform”);
  3. our social media pages;
  4. any other products and services offered by MARGARITIDIS (collectively, “Services”).

This policy applies to the following classification of individuals (data subjects) that interact with MARGARITIDIS:

  • Customers: Individuals that are employees or associates of our direct customers (hosts or organizers of events) and are authorized to access and use our Platform pursuant to a relevant agreement between the customer and us.
  • Event Attendees: Individuals who are invited to, register for or check into an event organized by a customer through our Platform.
  • Visitors: Individuals and prospective customers who interact with our Website and social media pages (e.g. to learn about our products and services or to request a demo).

When we collect information from you, we may be doing so on our own behalf (in which case we will be considered a “controller” of your data), or on behalf of one of our customers who is using our Platform and/or Services to organize an event and manage other event-related activities (in which case, the customer will be the “controller” and we will be considered a “processor” of your data).

  1. TYPES OF INFORMATION WE COLLECT

We collect as little information as possible to be able to maintain a satisfying level of collaboration with you. Usually, this information includes name, job title, company name, email address, mailing address, phone number, browser and device information (including IP Address), profession, medical specialty and in some cases the time of joining and the time of leaving an event.

Furthermore, we take videos and photos of the events both on behalf of our customers and for our own purposes. Though, we make every effort to avoid including close-ups of faces in the above videos and photos, we cannot absolutely guarantee that your face will not be in any of these when you attend one of the events organized by our customers. The only case in which we deliberately photoshoot and videotape faces concerns the speakers of the events.

Your personal information may be given to us by you, or by a customer or customer administrator on your behalf.

If you are submitting Personal Data relating to any other person (including as a customer administrator, or on behalf of other individuals at your company), you represent that you have full authorization to provide this information to us, and to permit us to use it in compliance with this Privacy Policy.

  1. TYPES OF INFORMATION OUR CUSTOMERS COLLECT

Personal data submitted to our platform from event attendees are automatically accessed by our customer that organizes the relevant event. These data may include name, organization, title, postal address, e-mail address, telephone number, fax number and other information including but not limited to interests, opinions, activities, age, gender, education, dietary preferences, occupation and in some cases the time of joining and the time of leaving an event. We encourage events attendees to review the customers’ privacy policies to further understand the types of data collected.

MARGARITIDIS does not control the customer’s event registration or management process, or the personal data that a customer requests from event attendees. We are not responsible for any decisions or actions taken by our customers with respect to your information (or by any third party with whom customers may share your information).

From our Website

If you visit our website and post a message (e.g. a request for demo, a question) you will be asked to provide your contact details.

From our Platform

Information collected via the Platform is collected from or on behalf of our customers who are hosting or managing events. This information is either provided from customer administrators, or from Event Attendees. This type of Personal Information is controlled by the customer, and MARGARITIDIS only collects and processes it at the customer’s direction, and in accordance with instructions provided by the customer, including the applicable terms in any customer agreement. With respect to this type of information, MARGARITIDIS is a processor, and customer is the controller.

From Offline Interactions

We may request and collect your Personal Data offline – for example, when you attend one of our promotional events, or if you call/ meet one of our sales representatives for information about our service offerings.

  1. HOW WE USE YOUR INFORMATION

We would like to keep you always updated regarding collecting and using your personal data that come into our possession when you cooperate with us. We only ask for the minimum information required to serve our business relationship and to effectively communicate with you. In general, we process information to:

  • comply with applicable laws and regulation such as tax legislation;
  • make and receive payments;

Customers. If you are accessing our Platform as an administrator or authorized user of a Customer, or as an Event Attendee for an event organized by a Customer, we will provide the Customer with your relevant personal data (e.g., contact details, time of joining and the time of leaving an event).

Legal and Contractual Compliance. MARGARITIDIS may disclose your information to government or law enforcement officials, regulatory agencies or other third parties (such as attorneys or regulatory service providers), as necessary to (i) comply with applicable laws or regulations, (ii) cooperate with governmental or law enforcement investigations, (iii) respond to legal claims or processes, (iv) protect the safety and legal rights of the public or any individual, or (v) detect, prevent or remedy any suspected fraud, market manipulation or illegal, tortious or wrongful activity.

Social Media Pages. You may disclose Personal Data during your participation on Social Media Pages. This Personal Data may appear in public ways, including through search engines or other publicly available platforms, and can be “crawled” or may be searchable by third parties. Please do not post any information that you do not want to be disclosed to the public.

  1. RETENTION

We will only retain your Personal Data for as long as necessary to fulfil the purposes for which it was collected and processed, or until you request deletion as described in this Privacy Policy.

We will retain Personal Data we collect from our Customers or Event Attendees, and process on behalf of a Customer, for as long as necessary to provide our Services to the Customer and will maintain any such information controlled by a Customer in accordance with the Customer’s instructions, including any applicable Customer Agreement terms, and as required by applicable law.

We will also retain and use Personal Data for a period of time required to comply with our legal, tax, audit or regulatory obligations, to resolve disputes, and to enforce our agreements.

After the end of retention period, your personal data are destroyed, deleted or anonymized.

  1. YOUR RIGHTS

You must know that according to General Data Protection Regulation, you have certain rights regarding your personal data under our possession. Specifically, you can ask us to:

  • give you a copy of your data,
  • correct your data, if you think they are not accurate,
  • erase your data, if there are specific reasons to do so,
  • limit the processing applied to your data,
  • give you your data in an appropriate format and to transfer them to another Company,
  • stop processing your data, under certain conditions.

We will promptly examine your request against the relevant requirements of the GDPR and we will answer the latest within 30 days after receiving your request. If, for reasons of complexity of the request or a multitude of requests, we are unable to respond promptly, we will notify you within thirty days of any delay, which in no case may exceed two months from the expiration of the 30-day deadline. It is possible to ask from you for identification (e.g. photocopy of your identity card or passport) to avoid non-authorized reveal of your personal data.

To ensure that your personal data are always accurate and updated, we recommend you keep us informed about your data, as needed (e.g. in case of a change in a street or email address).

Please note that we usually have no direct relationship with Event Attendees whose Personal Data we process on the Platform or through the Services on behalf of a Customer (the data controller). If you are an Event Attendee and use our Platform or any Service and would like to access, correct or delete your Personal Data, or would like to exercise any other or your above-mentioned rights, please direct your request to the Customer.

  1. SECURITY

We apply security technologies, policies and others measures to protect personal data under our control from unauthorized access, inappropriate use, alteration, illegal or accidental destruction or loss. We also require from all our employees and any third party that have access to or are authorized to process your data, to be bound by a contract to protect your data.

In the event of any security breaches, we will make legally required disclosures to you via email or by providing notice on our Site, as applicable.

While we take reasonable steps to protect your Personal Data, please be aware that no method of Internet transmission or electronic storage guarantees complete protection or is 100% secure, and there is always some risk when you share your Personal Data online. MARGARITIDIS therefore cannot guarantee the absolute security of your Personal Data.

  1. PERSONAL DATA OF MINORS

We do not knowingly collect and / or retain data regarding persons under the age of 16. If a parent or guardian becomes aware that his or her child has provided us with information without their consent, he or she should contact us at info@margaritidis.gr. We will delete such information from our files within a reasonable time.

  1. DISCLAIMER OF LIABILITY FOR THIRD PARTY WEBSITES

Although our site may contain links to third-party sites, we are not responsible for the privacy practices or content of these sites and we expressly disclaim any liability for any loss or damage that may be caused by the use of these links. If you are an Event Attendee, please direct any questions you may have regarding your Personal Information to the Customer organizing the event, not to us. As noted previously in this Privacy Policy, if you are an Event Attendee for an event organized by one of our Customers, we process your Personal Data on behalf of that Customer. The Customer determines what Personal Data to request from you, how it is used, with whom it may be shared, and for how long it is retained.

  1. REVISIONS OF THIS PRIVACY POLICY

This Privacy Policy is valid from 20/01/2021 and replaces any other previous notifications that we had issued in the past regarding our personal data management practices. We reserve the right to revise this Policy at any time. The current version will be always uploaded to our website indicating the date of entry into force, so you know when the most recent revision took place. Please visit this section of the Website periodically to check for changes and updates to the Privacy Policy.
